Old Business:

Elections for 2011 completed March 7th 2011. All officer postions remain unchanged, one new board member David Isaacson elected.

New Business:

Discussion of activities for 2011 “Late Summer Bash” to be held at Jimmy Buffett’s at the Beachcomber on August 20th 2011 from 3-8pm. All arrangements have been made with Randy Caleskie and David Erp of Jimmy Buffett’s.
Motion made by President Lee Walters to use $500 of club funds towards airfare for Scotty Bryan to play event, remainder will be made by donation from club officers. Will provide room for Scotty Bryan at Beachcomber weekend of event from donations.
Seconded by Deane Leidholt.

Event will benefit USO, donation letters handed out to officer’s.

President Lee Walters made motition to close meeting at 4:45pm and seconded by secretary Amy Cichowski.

Treasurer Report:  $1385.00 as of 28 January 2011.

Old Business:

Suggestions from club members for yearly activities reviewed.  Included recommendations for more beach gatherings, socials in which folks meet and mingle more, Karaoke nights and Marathon drink stations for charitable activities.

New Business: 

Motion made by President Lee Walters to keep $500 club funds in reserve at all times.  Seconded by Amy Cichowski and passed.

Discussion as to yearly activities, events and fundraisers for 2011.  Charitable organizations for the year will be Hawaii Food Bank in March, Aloha United Way School Supply Drive in June, USO Fund at August Summer Bash and Hawaiian Humane Society at the Christmas Party. 

Also possible Poker Bar Crawl for Charity to be named in April and a drink station at one of the local Benefit Runs at some point this spring.

Tentative Schedule  of events for the year is as follows:

            March:              House Party with Karaoke/Sing along at Walters Residence or KoOlina,                                              charity Hawaii Food Bank  March 26^th 5pm

Elections to be completed by March 7th.  Email for nominations will be sent out Feb 21^st and all responses will be posted via email on March 28^th and members will have until March 7^th to elect board and officers for 2011.  All nominations and votes will be completed via email and sent to club secretary Amy Cichowski at acichowski@hawaii.rr.com   One board position is open at this time.

New Business:
Special Meeting for discussion and planning of Annual Membership Party.
The Annual Membership Party will be held at the Waikiki Yacht Club on 28 Aug. 2010 form 1600 hrs. to 2100 hrs. (approximately) Clay Deaver to follow up on securing venue and coordination with management.

We will use the Pool Area for our meeting. Drinks and Food will be ordered and paid for by individual members.

Club funds of $500 and donation from Board members will be used to cover John Friday’s airfare from Florida to Honolulu and two nights hotel in Waikiki. Lee Walters to make travel arrangements and coordinate with our entertainer Mr. Friday.

Fund raiser: Warrior’s in Transition. Amy Cichowski. to contact and coordinate with “Warrior’s in Transition”
Use 5013C to solicit donations from corporations. We will sell tickets and have a silent auction to raise funds from these donations. Lee to get the example of the letter used to solicit to Amy C.

The 2010 elections are completed and positions are as follows:

Motion made by Lee Walters to accept election results and seconded by Deane Leidholt.

New Business: 
Discussion held regarding the May 30, 2010 party.  Determined this would be our past Presidents recognition event.  Many ideas for a gift were presented such as: a Koa Paddle, Hawaiian Shark gift and a statue made by one of our club members.  Vote determined the statue would be reviewed “on-line” and a determination by vote after Board members had an opportunity to view what it would look like.
Music for the event:  Lee would arrange to have Chip play for tips and Clay would arrange for Boarderline Boys to do the same.  We will use an I POD for the time live music is not being played.
Venue determined by vote.  Clay will arrange for us to use the Waikiki Yacht Club.  It cost the club 35.00 for use of the Mauka Terrace.  Dean agreed to create flyer to get to Clay to put up announcing our event at the Yacht Club.  Clay will arrange for use of the Yacht club’s sound system.  Mike agreed to sell merchandise during the event. 

Lee purchased business cards, sellable merchandise and secretarial supplied.  Board approved re-imbursement of $128.00 to Lee for those expenses.  Discussed having a Banner for our club made.  Tommy thought we had one and will follow up.
Lee presented a new designed for the club T-Shirts.  Board voted and agreed we liked the new design as the picture on the back was much larger than in previous printings. 
Lee agreed to print out an example of a “receipt” our club may present to any party making a donation to the club; such as something donated for a silent auction.

Discussion held about changing our Phlocking to Saturday.  Discussion determined to try a Saturday at some point in the future. 

The Board approved a “Duck Boat” trip for the June Phlocking.  Lee will follow up on that.
Began discussion of the “Annual Party” to be held in Aug. 2010.  Suggestions for venue:  Picnic Area at the Pearl Harbor for 200.00; JB’s or Yacht Club.  No determination made.  We need an area that will allow us to bring in our own music, charge a slight entrance fee and provide food and beverage service. 
Clay stated he was thinking of making a CD of the musicians we have play for us.  Issue of Royalty Rights presented.

Officer Reports-Treasurer Reports $2191.17, prior to Hawaii GET taxes being paid.  After taxes paid balance will be $1027.96.

 Committee Reports-

 Pau Hana Charity/Community Service Coordinator Amy Chichowski delivered $100 worth of food items to Hawaii Food Bank after our March Social at the Waikiki Yacht Club.  Much thanks to member Clay Deaver for organizing the event and providing our club access to the Yacht Club.

Old Unfinished Business:

 Deane Leidholt Coordinated Making of Membership Tags, All Tags Made for current members and he will continue to make the new tags as needed.  He has been reimbursed for the second batch of tags sent out and will make badge for entertainer John Canizzarro.  Stickers showing continuation of membership each year will be given out at meetings, or mailed out upon request.

Continue Bob Buttworth’s services for club website.

Pau Hana Club point system ongoing, maintained by club secretary and added to by-laws.  Points will be used to determine eligibility for club concert tickets and special event tickets at JB’s at the Beachcomber.

Club accounting is up to date with Federal, State Taxes filed this month.

Pau Hana Parrothead Club Incorporation Completed with the club receiving our Federal Non-Profit status this month.

 New Business:

 Motion made by Lee Walters to change club due cycle from Jan 1 –Jan 1 of each year.  Anyone joining after July of each year will have upcoming year’s dues prorated/discounted.  Seconded by Deane Leidholt and passed.

Member Joe Crockett has volunteered to be a sitting board member until upcoming elections to fill one of several vacant spots.  Motion made by President Tommy Bullard to accept Joe as member, seconded by Amy Chichowski and carried.

Board Member Amy Chichowski suggested that we purchase a receipt book to be used for club donations now that we are a Non Profit Club.  Also point made that we should have an official club letterhead made using current club logo.  Secretary Lee Walters will pick up a receipt book and look into having a club stamp designed.  Board member Deane Leidholt will check into designing a club letterhead.

Club Secretary Lee Walters will have more Pau Hana business cards made at printing shop in Kapolei with same design as last year.  Motion made by President Tommy Bullard to use club funds to make cards, seconded by Deane Leiholt and carried.

Monthly club phlockings will continue the last Sunday of each month, but location my change from month to month.  The upcoming April Social will be back at Jimmy Buffett’s at the Beachcomber on April 25^th 3-6pm.  May social will be back at Waikiki Yacht club if the venue is available to us.  Live music will be provided as available.

A June Duck Boat trip or Waikiki Catamaran trip will be planned, date to be set at upcoming meeting.

Elections 2010:

Elections have been deleted from normal February timeframe until April, due to military members Tommy Bullard and Fred Becker not receiving orders until this past month.  Tommy will be leaving the club for several years for Kodiak Alaska and Fred will be heading back to Florida.  We thank Tommy for his fantastic service over the past years as club President and Fred as well for coming through as a much need board member.

Elections for 2010 will start immediately via email with President Tommy Bullard sending out notice of election and call for nominations on April 9^th.  Nominations will be taken for club President, Vice President, Secretary and Treasurer as well as four board member positions.

            -April 9            Call for Nominations.

            -April 15           Nominations will be published via email to club members and voting will   start.  

            -April 20         Voting will be complete and results posted via email and website.

All members interested in taking part in organizational activates are encouraged to take part, self nominations are encouraged as well.
